Instructions for sponsors after paying for their package

Thank you for your generous sponsorship of the Luxury Gala. We are thrilled to have you as a sponsor and look forward to showcasing your brand in a memorable way. This master guide contains all the information and instructions you need to activate your sponsorship benefits. Some of the items are for higher level sponsorship packages and may not be in your package you can disregard. But items that are in your sponsorship then those are the items we need you to respond ASAP so we can prepare them before the event.

1. VIP Dinner Tickets and Seating:

  • Your sponsorship includes VIP dinner tickets. Please confirm the names of your guests who will be attending the gala. Deadline for guest list submission: January 30.

2. Magazine and Website Ad Placement:

  • Prepare a full-page ad for the event magazine and a 1-page ad for placement on our website. Submit both ads in high-resolution format (PDF or JPEG) to samirashowtv@gmail.com. Deadline for ad submission: January 30.

3. Logo Placement:

  • Send us your company logo in high-resolution format. Your logo will be prominently displayed on the main event banner. Please submit your logo to samirashowtv@gmail.com by January 30.

4. Inclusion in Gift Bags:

  • If the sponsorship package you have purchased has this benefit, you may include your products, samples, or gifts in the event’s gift bags. Please coordinate with our team at samirashowtv@gmail.com. We will provide further details and logistics.

5. Commercial/Movie Trailer/Music Video:

  • Prepare a 30-second commercial, movie trailer, or music video that aligns with the event’s theme. Submit the video in a suitable format to samirashowtv@gmail.com. This video will be displayed on the LED screen during the gala.

6. TV Network Promotion:

  • Your 30-second commercial, movie trailer, or music video will also be featured on our TV network. Coordinate with our team at samirashowtv@gmail.com for content submission and scheduling.

7. Sit-Down Interview:

  • If the sponsorship package you have purchased has this benefit, you are required to prepare for a 15-minute sit-down interview that will air on TV. Share any specific topics or messaging you would like to cover. We will schedule the interview at your convenience.

8. Models for Representation:

  • If the sponsorship package you have purchased has this benefit, please communicate your requirements to our team at samirashowtv@gmail.com.

Submission Deadlines: To ensure the successful execution of your sponsorship benefits, kindly submit all relevant assets and information by January 30.

Vendor Information for the Event Day

Thank you for being part of our event! Please carefully review the details below to ensure a smooth and successful experience.

1- Event Date and Location:

  • Parking: Vendors must park in the designated parking lot. No vehicles are allowed in the ballroom Circle area after 9:00 AM.

2- Setup Timeline:

  • Setup Start Time: 7:00 AM
  • Latest Arrival for Setup: 9:00 AM
    Please note: After 9:00 AM, no cars or equipment will be permitted in the setup area. Any vehicles remaining in the ballroom circle after 9:00 AM will be towed.
  • Setup Completion Deadline: 11:00 AM
    All vendor booths must be fully set up and ready by 11:00 AM. No additional setup will be allowed after this time.

3- Security Protocol:

  • At 11:00 AM, all vendors must vacate the event area for security checks. No one is permitted to stay in the event area between 11:00 AM and 12:00 PM.

4- Check-In and Badge Collection:

  • After vacating the event area, all vendors must proceed to the check-in table to collect their badges. Access to the venue will only be granted through the main door with your badge.

5- Event Start:

  • The event officially begins at 1:00 PM. Vendors are allowed to return to their booths at 12:00 PM to make final preparations and be ready to welcome celebrities and guests.

6- Important Guidelines:

  • Electricity: If you require electricity at your booth, please bring your own extension cables. There is an extra charge for electrical use.
  • Parking: Ensure all vehicles are parked in the designated parking lot by 9:00 AM. No cars are permitted in the ballroom area at any time.
