Media/Videographer Instructions and Checklist

Thank you for covering our event! To ensure that we capture all the important moments, please follow the instructions and checklist below:

Before the event:

  1. Coordinate with the event organizer and communicate your needs and expectations for coverage.
  2. Check your equipment and ensure that you have all necessary tools and accessories.
  3. Arrive at least 30 minutes before the start time of the event.

During the event:

  1. Capture footage of individual guests, couples and groups, red carpet, vendor booths, vendors or sponsors, table setup, entire ballroom, products, banners, models, fashion shows, awardees, performers, gifts, awards, dinner, food, and everything that creates a good memory of the event.
  2. Focus on capturing the event timeline and program as closely as possible.
  3. Coordinate with the event staff to ensure that you are not interfering with the guests’ experience.
  4. Be respectful and professional when taking footage and interviewing guests.

After the event:

  1. Review and edit footage to ensure that it is of high quality and aligns with the event program and timeline.
  2. Submit the footage to the event organizer within two days of the event.
  3. Label the files with your name initials, event date and content of footage for easy retrieval.

Media/Videographer Checklist:

  • Capture individual guests, couples and groups.

  • Capture table setup, centerpieces, flowers, and decorations.
  • Capture the entire ballroom.
  • Capture products, banners, and signage.
  • Capture models, fashion shows, awardees, performers, gifts, and awards.
  • Capture dinner, food, and beverages.
  • Capture everything that creates a good memory of the event.
  • Stay focused on capturing the event timeline and program.
  • Be respectful and professional when taking footage and interviewing guests.
  • Review and edit footage to ensure high quality and alignment with the event program and timeline.
  • Label the files with your name initials, event date and content of footage for easy retrieval.
  • Submit the footage to the event organizer within two days of the event.
